Refund and Cancellation Policy for Clinical Programs
At ATMA CENA, we are committed to providing high-quality care and services to out clients. We understand that appointments may occasionally need to be changed or cancelled.
Our refund and Cancellation policy is intended to provide clarity around refunds, deposits, cancellations, rescheduling, and administrative fees associated with our clinical programs and services.
General Refund Guidelines
All refund requests must be submitted in writing by email to info@atmacena.com. Please include your full name and the reason for your request.
Any approved refund requests will be processed within 14 business days of receipt and will be issued using the original method of payment.
Services and Refund Eligibility
All services are final sale and non-refundable.
Any exception or approved refund will be granted solely at the discretion of ATMA CENA and will be subject to the terms set out in the Clinical Program Refunds section of this policy.
Non-Refundable Deposits
All deposits paid toward services or programs are non-refundable.
If a client chooses not to proceed with services, cancels their program, or withdraws from treatment, the deposit will not be returned.
However, the deposit amount may be applied as a credit toward a service purchased at ATMA CENA.
Administrative Fee
A 10% administrative fee will be applied to all eligible refunds.
This fee helps cover administrative and clinical preparation costs, including scheduling, intake, record management, coordination, consultation time, and refund processing.
Rescheduling Policy
Appointments may be rescheduled up to 24 hours before the scheduled appointment time without additional charge.
Rescheduling with less than 24 hours’ notice will result in a $100 rebooking fee.
Clinical Program Refunds
Psychedelic Treatment Programs/rTMS Treatment Programs
All services are non-refundable. If a refund request is approved, any eligible refund will be prorated based on services already used and will be subject to a 10% administrative fee.
Any deposit paid remains non-refundable, but may be applied as a credit toward a future package or service, where applicable.
Programs Requiring External Approval
For programs that require external approval, any application fee is non-refundable once the application process has begun.

Clinic-Initiated Cancellations
ATMA CENA reserves the right to cancel or discontinue appointments or services in certain circumstances.
These include but are not limited to emergencies, staff shortages, technical issues, safety concerns, verbal abuse, harassment, threatening conduct, or other inappropriate behaviour toward staff or providers, or client non-compliance with clinic policies.
If ATMA CENA cancels an appointment, we will make reasonable efforts to notify the client promptly and to reschedule the appointment or provide an appropriate alternative, where appropriate.
Any rescheduling or rebooking fees in these situations will be applied at the organizations discretion.
